BACKGROUND
The National Council of La Raza (NCLR)-the largest national Hispanic civil rights and advocacy organization in the United States-works to improve opportunities for Hispanic Americans. Through its network of nearly 300 affiliated community-based organizations (CBOs), NCLR reaches millions of Hispanics each year in 41 states, Puerto Rico, and the District of Columbia.

The NCLR Midwest Regional Office is located in Chicago, IL and serves as a central presence and point of contact for nearly 65 Affiliates from 14 Midwest states. In addition to serving as a hub for its Midwest Affiliates, the office also provides support to staff from NCLR divisions with national reach, including Affiliate Members Services (AMS), Education, the Office of Research, Advocacy, and Legislation (ORAL), and Workforce Development (WFD).

The Office Manager will be responsible for coordination and administrative support to the Midwest Regional Office. The position will serve as a first point of contact for Affiliates, partners, funders, clients, and media, and it should manage the flow of information throughout the office and, as appropriate, the organization. This is a professional support position that must handle multiple projects simultaneously and manage fast-paced schedules with professionalism, maturity, poise, and confidence. The Office Manager will report directly to a designated NCLR team member located in the Midwest Regional Office.

DUTIES AND RESPONSIBILITIES
  • Provide administrative support to the office, including welcoming visitors, receiving and routing incoming calls, and providing information and referrals to incoming callers.
  • Provide clerical support to the office, including but not limited to typing/editing letters and other documents, scheduling meetings, setting up conference calls, photocopying, faxing, and general office management.
  • Order supplies; keep inventories; collect, open, sort, and distribute mail.
  • Serve as the liaison between the NCLR Affiliate Member Services team and Affiliates in Midwest; share information, refer requests, maintain database, and flag issues/troubleshoot.
  • Serve as the main contact between the Midwest Regional Office and the Information Technology, Finance, and Administration departments, submit requests for training/technical assistance, install new software/hardware as needed, troubleshoot all office computers, and maintain adherence to administrative policies and procedures.
  • Manage office billing and payments.
  • Maintain, enhance, and/or update the Midwest Regional database and filing system as appropriate (responsible for all filing).
  • Serve as the administrative point of contact and coordinate dissemination of information to appropriate groups or lists of interested parties through a variety of means, including email, group fax, telephone, and traditional mail, and manage various databases.
  • Organize and execute large mail-outs by regular mail and email, including newsletters, meeting materials, etc.
  • Provide support in coordinating details for both local and out-of-town meetings, including notifying participants, preparing agendas and travel arrangements for staff and participants, and assembling and distributing materials.
  • Provide support in coordinating travel and lodging arrangements for Midwest Office personnel.
  • Manage the Midwest Regional Office calendar and meetings schedule, including managing regularly scheduled staff meetings.
  • Attend meeting and take notes for Midwest Office personnel when needed.
  • Travel when required (regional and component meetings, NCLR Annual Conference).
  • Perform other support duties as necessary.
QUALIFICATIONS
  • Minimum of five years' work experience in a relevant area such as office management or professional administrative support preferred
  • Highly organized with experience in performing logistical and support functions

Seeking a customer-focused individual with strong technical and time management skills to join the Department of Information Technology at the American Academy of Pediatrics in this newly created Senior SQL Database/Application Lead role.

Reporting to the Computer Systems Analyst, this individual will define, maintain, communicate, implement, and execute the enterprise database architecture, solution engineering, standards, and strategy for its operational usage across the enterprise, as well as, lead and coordinate a team of developers through projects from the requirements phase to customer delivery.
